Manage referrals in your Referral Center

How to manage HelpHive referrals in your private Referral Center

The referrals you receive through your Referral Pro Plan will be managed on your private Referral Center web page.

NOTE:  The self-reporting of referral information is based on the honor system and is required by HelpHive Terms of Service.

 

Step 1: Receive a Referral

You may receive referrals as phone calls, voice messages or text contacts.  Each referral is listed in the order that it was received with the most recent referrals at the top.  For your convenience, you can add customer name, phone number and job notes for each referral.  Here are examples of each type of referral:

Direct Connect Phone Call.  You can playback a recording of the call you received.  If the caller id was available, the caller's phone number is displayed along with the location where that phone line is registered.

Voice Message.  If your line was busy or your phone didn't pick up, HelpHive requests the caller to leave you a HelpHive voice message.  You can playback the voice message.  If the caller id was available, the caller's phone number is displayed along with the location where that phone line is registered.  Prior to recording the voice message, the caller has the option of indicating when they'd like work done (Emergency, this week, this month or unsure) and if they'd like to schedule an appointment with your business.

Text Contact. If a person chose to contact you by email, then this generates a text contact referral.  You can view the message details by clicking on "Read & Reply to Message".  If the person contacting you is a HelpHive member, you can directly message them back using the HelpHive text contact system.  In addition to the message content, the user may indicate when they'd like the work done (Emergency, this week, this month or unsure) and if they'd like to schedule an appointment with your business.  Also, they may indicate whether they'd like a call or an email response from you.

 

Step 2:  Qualify a Referral

Is this referral qualified or not?  You confirm.

If a referral is qualified, click "Confirm Qualified Referral" button and proceed to the next step.

If a referral is not a qualified referral, click "Mark as 'Not qualified'" link and identify the reason that it is not qualified.  This request will be reviewed and confirmed by HelpHive.

'Not qualified' referrals include calls that are wrong numbers, sales calls, calls from homeowners seeking service that you do NOT provide, calls from homeowners seeking service in an area that you do not service and calls from existing customers who tried to contact you via HelpHive.  More details >>

Above is example of a referral marked as 'not qualified' and awaiting review by HelpHive.

You have up to 7 days to mark each referral as qualified or 'not qualified'.  If you don't confirm this referral as qualified/not qualified within 7 days, then the referral will automatically be marked as qualified.

 

Step 3:  Estimate the Job

Now qualified, enter your job estimate quote.

As soon as you've given a job estimate quote to the customer, enter the estimate amount for this referral and click "Submit".  You can then move to the next step.

This job estimate amount is NOT made public and is NOT a commitment to the final job revenue amount.  You have 2 weeks after the referral is qualified in order to enter your job estimate.  You can extend this by clicking the "add time" link.

If you don't end up being able to do the job or even provide an estimate, then you can click "Mark as 'No Job Resulted'" link.  This request will then be reviewed and confirmed by HelpHive.  If this is confirmed, you will be charged a nominal Qualified Referral Fee.

If you don't enter a job estimate or mark this referral as "No Job Resulted" within 2 weeks (or later date if you extended), then the job estimate will default to your average medium job size.

 

Step 4:  Report Job Revenue

When you complete a job, enter the actual job revenue amount (without taxes) and click "Submit" button.  You are now done with processing this referral.

You will be charged a Job Commission Fee on this amount on your next monthly bill.  This actual job revenue amount is NOT made public.  You have 2 weeks after the job estimate in order to enter your actual job revenue.  You can extend this by clicking the "add time" link.

If you don't end up being able to do the job, then you can click "Mark as 'No Job Resulted'" link.  This request will then be reviewed and confirmed by HelpHive.  If this is confirmed, you will be charged a nominal Qualified Referral Fee.

If you don't enter the actual job revenue or mark this referral as "No Job Resulted" within 2 weeks (or later date if you extended), then the actual job revenue will default to your job estimate and you will be charged a Job Commission Fee on this amount on your next monthly bill.

 

Step 5:  Receive Monthly Bill

Qualified Referral Fees and Job Commission Fees will be billed on a monthly basis and charged to your credit card on file with your Business Account.  All fees which become due in a calendar month will be billed on or after the 1st day of the following month.  So, for example, all fees incurred in October will be billed on or after November 1st.
